User Data Deletion Instructions

1. Overview

Apps that access user data must provide a way for users to request that their data be deleted. Fire & Ice Sauna satisfies this by publishing clear instructions on this publicly available page (no login required) and by accepting requests by email.

2. What data can be deleted

Upon a verified request, we delete or de-identify personal data we control that is not subject to a retention exception, which may include:

• Guest profile fields (name, email, phone, birthday, notes)
• Booking and visit records tied to you that we are not required to keep
• Group event / quote requests and similar form submissions
• Giveaway or marketing entries associated with your contact details
• Social / Meta app analytics records stored by us for FireAndIceSauna that relate to a user or account identifier we can match
• Staff accounts for former employees when appropriate

We do not sell personal information. Deleting your data stops our further use of that information for the purposes described in our Privacy Policy, subject to legal holds.

3. How to request deletion of your personal information

Email a deletion request to:

Please include:

• Your full name
• The email address(es) and/or phone number associated with your bookings or account
• A clear statement that you want your personal data deleted
• Any booking confirmation numbers or client identifiers you have (optional, helps us locate records)
• If the request is about Meta / Instagram app data, use the subject line Meta App Data Deletion Request and include any known Instagram or Facebook identifiers if available

We will verify the request as reasonably necessary (for example, confirming control of the email address used in our records) before deleting data.

4. What happens after you request deletion

1. We acknowledge your email and may ask for information needed to verify identity.
2. We locate personal data associated with you in our systems and service providers we control.
3. We delete or de-identify eligible data within a reasonable time, generally within 30 days of a verified request (sooner when feasible).
4. We email you a confirmation when the request is completed, or explain any data we must retain and why.

5. Retention exceptions

We may keep limited information when required or permitted by law or legitimate safety needs, including:

• Signed liability waivers and related safety acknowledgements for the period we must retain them
• Tax, accounting, or other legally required business records
• Records needed to prevent fraud, abuse, or security incidents
• Information needed to establish, exercise, or defend legal claims
• Backups that roll off on a normal schedule after primary copies are deleted

Where we must retain data, we limit use to those purposes and do not keep it longer than needed.

6. Meta / Instagram app (FireAndIceSauna)

Our Meta developer application FireAndIceSauna is used by Fire & Ice Sauna for our own professional Instagram and related Meta business tools (for example brand content and insights analytics).

• To request deletion of data we obtained or stored via this app: email info@fireiceco.com with subject Meta App Data Deletion Request.
• We will delete app-stored social metrics and related records we control that we can associate with your request, subject to verification and the retention exceptions above.
• Data that remains only on Meta’s platforms is controlled by Meta. You may also use Meta’s own settings (for example Apps and Websites) to remove app connections or send platform-level requests.

7. Third-party services

If your data was also provided to independent services (for example Shopify checkout or Wellhub), you may need to contact those providers for data they control. We will delete copies we hold and, where practical, instruct our processors to delete data processed solely for us.
